01Who is responsible

Instant Embroidery is responsible for the personal information described here. Our privacy contact is sales@instantembroidery.ca, or write to us at 6-4816 35B St SE, Calgary, Alberta T2B 3N1.

02What we collect

• Contact details you give us: name, email address, phone number and company or team name.
• Order details: garments, colours, sizes, decoration method and logo locations, notes for the shop, and pickup or shipping choice.
• Artwork you upload, and the sizing you set for each logo location.
• Payment information from Stripe about the transaction, such as the amount, status, reference and payment identifier. We never receive your full card number.
• Messages you send us by email, phone or the order notes.
• Basic technical information such as IP address and device type, recorded by the services that host and run this site.

03Why we collect it

• To prepare your mockup and proof, produce the order and deliver it or have it ready for pickup.
• To take payment and keep the business records tax law requires.
• To contact you about your order, including questions about your artwork.
• To answer enquiries, keep the site working and prevent fraudulent orders.

04Consent

By placing an order or contacting us you consent to the collection, use and disclosure described in this policy. You can withdraw consent at any time by emailing us, but we may then be unable to complete an order, and we still keep the records we are required by law to keep.

05Payments

Card payments are processed by Stripe. Your card details go directly to Stripe and are covered by Stripe's own privacy policy. Our Stripe account shows only the transaction information needed to confirm and reconcile the payment.

06Service providers

We use service providers for website hosting, our store catalogue and stock, card payments and email. They receive only the information needed for their part of the job and are required to protect it.

Some providers process information in the United States. Where information is processed outside Canada, we use providers that offer protection comparable to PIPA.

07Cookies and browser storage

Your order is kept in your own browser's local storage until you pay or clear it, so you can configure several pieces in one visit.

We do not use advertising or cross-site tracking cookies. Our hosting, payment and catalogue providers may set the technical cookies needed to run the site and complete a payment.

08How long we keep it

We keep order records, including the artwork used to make them, while the order is open and afterwards for at least six years, as tax rules require. We keep general enquiries only as long as needed to answer them.

09Your rights

You can ask to see the personal information we hold about you and ask us to correct anything that is wrong. Email us and we respond within 45 days, as PIPA requires. We may ask you to confirm your identity first.

10Security

Artwork is stored in private storage and is reached through expiring links, not public web addresses. Access to order and customer information is limited to the people who need it to run the shop.

11Children

This shop is meant for businesses and adults placing uniform and workwear orders. We do not knowingly collect information from children.

12Questions and complaints
